Rosea Landscapes — Human Resource Policy Manual

Our people are the roots of everything we create. This HR Policy Manual outlines the principles, policies and procedures that guide how we hire, work, and grow together at Rosea Landscapes (Bengaluru).

1. Company Overview

Rosea Landscapes is a Bangalore-based landscape design and contracting firm committed to crafting innovative, sustainable and beautiful outdoor spaces. We offer end-to-end services across design, execution, maintenance, and supply of garden essentials. This manual ensures clarity and consistency in how we treat and support every team member — from designers to site crews.

2. Employment & Appointment

  • All hires receive a formal appointment letter issued by management.
  • Every new employee undergoes a 3-month probation during which performance and fit are assessed.
  • Confirmation of employment is provided in writing after successful probation.
  • The company reserves the right to terminate employment during or after probation subject to the notice terms stated in the appointment letter.

3. Working Hours & Attendance

  • Standard office hours: 9:30 AM – 6:30 PM (Mon–Sat). Sunday is the weekly holiday.
  • Employees receive a 1-hour lunch break daily.
  • Design team: flexible scheduling but must complete 48 working hours per week (lunch excluded). They may meet this across 5 or 6 days as required.
  • Daily attendance is recorded; punctuality and regular attendance are essential. Repeated lateness may affect appraisals.

4. Leave Policy

We support rest and well-being with a simple, easy-to-understand leave system:

  • Casual Leave (CL) — 6 days per calendar year
  • Sick Leave (SL) — 6 days per calendar year
  • Earned Leave (EL) — 12 days per calendar year (accrues after 1 year)

Probationary employees are eligible for CL and SL only. All leaves should be applied and approved through the reporting manager; carry-forward of unused leave is at management discretion.

5. Code of Conduct

We expect every Rosea team member to uphold professionalism, creativity and integrity:

  • Maintain respectful, safe and cooperative behaviour at work.
  • Not take on outside employment or consultancy without written permission.
  • Protect client confidentiality and company intellectual property at all times.
  • Use company assets (vehicles, tools, laptops, drawings) responsibly and only for official purposes.

6. Salary, Benefits & Statutory Deductions

  • Salaries are disbursed on or before the 5th working day of each month.
  • Compensation is governed by the appointment letter and is subject to statutory deductions such as Professional Tax, Income Tax and other applicable contributions.
  • Periodic performance reviews may lead to salary revisions and benefits as per management policy.

7. Travel & Reimbursement Policy

  • Official travel to sites, nurseries or client locations must be pre-approved by management.
  • Reimbursements are processed on submission of approved bills/expense forms.
  • Employees using company vehicles must follow company travel and safety guidelines.

8. Disciplinary Policy

To protect our people and reputation, breaches of policy or misconduct are addressed fairly and promptly:

  • Offences may attract verbal/written warnings, suspension, or termination depending on severity.
  • Gross misconduct, such as data theft or major breaches of confidentiality, may lead to immediate termination without notice.

9. Grievance Redressal

We encourage open communication:

  • Start by discussing concerns with your immediate supervisor.
  • If unresolved, escalate to HR or senior management.
  • All grievances will be handled confidentially, impartially and promptly.

10. Exit Policy

  • Employees should provide one month’s written notice or salary in lieu to resign.
  • Return all company property (equipment, documents, keys, data access) before the final day.
  • Full and final settlement will be processed within 30 days of the last working day.
  • An exit interview may be conducted to ensure knowledge transfer and capture feedback.
